February 2017 Update

Happy February! We’ve started the year strong & have some nice improvements to share with you. Prepaid Classes and No Show support may be of particular interest…


New: Prepaid Classes

Simplify your workshop registrations AND get paid faster! When you enable ‘Pre-pay’ for a class, customers will be required to pay for their booking right when they register online.

Prepaid Classes are ideal for one-day events. You can collect payment and bookings ahead of time so you don’t need to worry about either on the day of the event.

You must be integrated with Stripe and accept online reservations to use this feature. Here’s how it works.

New: Keep Track of No Shows

Now your no shows are easy to track in Punchpass. When you mark an attendance as a no-show, you can debit the customer’s pass and keep a record of the date & time of the absence. Your no-shows are fully tracked – they are on the customer’s record as well as your new no-show report.

New: Charge Credit Card for In-Person Pass Sales

Selling passes online with Stripe has always been great. Now we’ve brought the convenience of the Punchpass/Stripe integration to your in-person transactions. When you’re selling a pass in person, you can now charge a credit card right within Punchpass.

It’s a real time-saver. You must use online pass sales with Stripe to use this feature

New: Your Customers Can Move a Reservation

Now your clients can use the automated reservation confirmation email they receive from Punchpass to move their existing reservation to an alternate date/time on your upcoming schedule.

They’ve always had the option to cancel that way…but wouldn’t you rather encourage them to come another time instead?

Improved: Customer Logins - Flexibility AND Control

Want to sell your customers flexible passes but limit their reservations to the number of visits they’ve paid for? Customer logins have always given you the ability to tighten up public access to reservations. Now you can also restrict bookings to the number of visits left on a customer’s pass.

This is defined at the course level. If you tell Punchpass that a course requires an active pass to book, we limit your customers’ ability to reserve based on the available number of visits they have left. So if a customer has 4 visits left, they can’t book more than 4 future reservations without buying another pass.

Improved: Stripe Refunds from Punchpass

Need to issue a refund for a pass that was purchased online with Stripe? Now you can do that right from your list of Online Purchases within Punchpass – no need to go to Stripe.

Improved: Memberships -

You can now change a customer’s membership from one type to another without breaking the billing chain in Stripe.

This is particularly useful if you offer ongoing memberships at different levels. Your customers can move across membership levels without a service or billing interruption.

Improved: Stripe Checkout Form

You have three new options for your Stripe checkout form. You can allow Stripe to use its “Remember Me” feature so your customers can check out more quickly during repeat pass purchases. You can also allow Stripe to collect zip code and billing address from your customers for additional verification.

Just go to your Online Payment Settings to make this election.

Improved: Manage Classes & Customer Profile Views

We’ve introduced a new look to the Customer Profile page. You’ll find all active passes and memberships in one spot, and all customer actions are clearly itemized and grouped together.

We’ve refreshed the Manage Classes setup page as well with similar intent.

Other Improvements & Tweaks

The Attendance Time was added to the Attendance CSV download. So you know exactly when your customers checked in to class! This is particularly great if you have check-ins to the same Punchpass ‘class’ throughout the day.


Now we email you if a customer purchases a pass or membership. Nice!

NEW! Pre-Pay For Classes

There’s a new way to collect payment for your classes and workshops in Punchpass - right at the time of booking! You now can mark a class as ‘Pre-Pay’, which will prompt your customers to pay for the class ahead of time when registering.

This is ideal for workshops, and other one-off events where you want to collect payment ahead of time so you don’t need to worry about it on the day of the event.

You must allow online pass sales via Stripe to use this feature.

Here’s a brief overview of how it works:

First - You go to the class in Manage Account, Manage Classes, and mark the class as Pre-Pay. You’ll be prompted for a price.

Then the booking form for the class will look like this for your customers - they’ll be prompted for their credit card details to sign up.

These reservations are then marked as ‘Pre-paid’ – no separate pass purchase is required.

Have a customer who wants to book in advance but pay separately? Sure – you can create a reservation for them within Punchpass and then take payment later (via credit card or any other method). That reservation will be marked as paid when you collect. This is great for customers who call to register and then pay you the next time they’re in the studio!

We’re excited about this addition, as it greatly simplifies the registration process for workshops and gets you paid faster - both good things!

Class Registration Improvements

Two improvements to the class registration process went live today. First, you can now tell Punchpass to NOT accept online reservations for a class. Reservations are accepted by default - to turn them off edit the class in Manage Account and uncheck the box to accept reservations. This means the class will not show up in the class schedule on your public registration page.

Customer List Now Loads Up To 10x Faster

As Punchpass has grown we’ve attracted customers who have larger and larger lists of their own customers. More customers used to mean the View Customers page (one of the most common pages) loaded slowly. No more! We’ve improved the loading performance of that page by 10x. In simpler terms, that means it’s gone from ‘when is the page going to load’, to ‘whoa!’ This is especially helpful for users on mobile. Lots more enhancements coming in the next few months!

Purchases Report Is Now Downloadable as CSV File

More customers have asked for reports to be downloadable - so they can analyze the data or get it into programs like Quickbooks. Starting today the Purchases report has a Download CSV link. The link creates a report for the current month you are viewing, so you do need to download each month. A great monthly ‘housekeeping’ task would be to download last months report and save it on your computer. That way you have a copy of all your pass purchases in case you need them.

Class Variety In Punchpass

We pulled together a word cloud of all the class names that have been defined in Punchpass! Pretty cool to see the variety. Obviously Zumba and Yoga are the dominant themes. But there are a huge number of other classes: Barre, Insanity, Pilates, Tai Chi, Kickboxing, Bootcamps, Bokwa, TRX, Circut Training, Boxing, Crossfit, Yogalates(!), Ripped, Konga, MetaFit. Even Line Dancing!!

New Way To Organize Classes - Class Times

We have re-designed the way you create your classes in Punchpass. Once you have defined a class in the Manage Account section (for example, Zumba) you then can create multiple class times that you teach. Each class time has a day, a start time, and a default instructor.

Automatically Send Pass Ending Soon Emails

You can now have Punchpass send your customers an automatic email when they have a pass that either has 2 punches left or is going to expire in 1 week. One of the issues we have heard is that now that customers don’t have a physical punchcard, they don’t know the status of their pass. This is the first step in some features to help customers stay up-to-date on their passes.

Finally! This was a hotly requested feature - passes can now have fixed expiration dates. These work especially well for businesses that offer bootcamps or session based classes. Now you can have passes that expire at the end of the session, regardless of when they are purchased.

We’ve added an Attendances Report to Punchpass that shows you all of the attendances for a specific month. You can sort the columns based on the column headers (just click on the header), change the month shown, or download the report as a CSV file in order to analyze it further in a spreadsheet.

Punchpass now lets you adjust the price paid for a pass, on a purchase-by-purchase basis. So if you offer a customer a discount, or want to pro-rate a pass, now you can and your financial information in Punchpass will be correct!

Forgive Class Attendances With No Pass

One of the ways to use Punchpass successfully is to take care of attendances that are marked as ‘No Pass’ attendances. But sometimes there are attendances that you do not want to assign to a pass. New Report - Which Passes Recently Expired?

We’ve just added a new report to help Punchpass users keep their existing clients coming back - the Expired Passes report. This report shows all passes that have recently expired: Unlimited passes that have expired in the past 30 days, and Punchcards that have been filled in the past 15 days. We exclude any punchcard that only had 1 punch to remove drop-ins from the list.

Punchcards Around The Globe...

Zumba, Bokwa, Yoga, and group fitness classes are global….so it’s no surprise that Punchpass is too! Here’s a map showing where all our users are. Fitness instructors around the world are starting to use Punchpass to manage their passes, loyalty cards, and track class attendance. Pretty cool!

Customer Self Check-in is Live!

Tired of taking class attendance? Let’s have your customers do it instead! Today a new feature is live that allows you to set up an iPad or laptop as a check-in station. Existing, regular users can use it to quickly sign-in for class. Think of this as your digital equivalent of the paper sign-in sheet!

1 Day Pass Lengths

You can now set a pass to expire in 1 day - the old length was 1 week. This was a customer request to ensure that assigned drop-in passes expired after 1 day, and to enable the creation of ‘1 Day Unlimited’ passes. Thanks for the suggestion!

Pass Use Summary On Attendance Page

Punchpass now summarizes the passes used for a particular class, and shows it to you on the Class Details page. Simply click on any of your classes to see the summary. We now also show which pass a customer used in the class next to their name. Eventually we will summarize this information for you across all your classes to help you see which passes are the most used. And yes, this was ANOTHER great customer request!

See Who ISN'T Showing Up....

New report! This shows you your customer list, along with the date of the last class they attended. You can sort the list by the headers to have it show exactly what you want. This report was (another) customer request - they want to know who hasn’t come to class in the last 90 days so they can reach back out to them. Great idea! It’s a lot easier to convince an old customer to come back than it is to get a new customer.

Ooooo Shiny - Icons for iPhone/iPad/Android phones

For many Punchpass users taking attendance and assigning passes takes place on their phone or iPad. Either there isn’t a wifi connection where they teach, or a smartphone is all they’ve got. (And that’s fine - we’ve designed Punchpass to work great on a smartphone with a 4G connection.) But we didn’t want the ‘apps’ to have all the fun, so we’ve made shiny new icons you can add to your homescreen!

New Feature - Inactive Passes

We’ve added the ability to mark a Pass as either ‘Active’ or ‘Inactive’. Inactive passes are available for sale, but are NOT eligible to be used when the system is assigning a pass to a class attendance. This means you can sell a pass for use in the future, today!

We have enabled signups today for Punchpass and have shed our ‘beta’ label. We are super excited to open Punchpass up to more Zumba/Yoga/Fitness instructors, and still have lots of enhancements in the works. If you haven’t had a chance to try Punchpass yet you can sign up here.

Security is an important piece of any web application. We take security especially seriously as we are dealing with the contact information for our customer’s customers. So starting today ALL pages for Punchpass are served securely over SSL, not just pages dealing with payments.

Instructor Report Is Live

The Instructor report is now available on the Reports page. It lists all of the instructors you have set up in the system and shows the number of classes they have taught, and the number of students. Clicking on the Instructor name will show you the specific classes and attendee count for each one.

Improved Class Check-in From a Smartphone

PunchPass is being optimized around the iPad, however there will still be situations where you may need to mark class attendance with your phone. The problem here is that the customer list can be too long, and you end up endlessly scrolling. We’ve added a few small touches that ONLY appear when you are using your phone to help you navigate.
